The short version

1. Who we are

PodHub Studio ("PodHub", "we", "us") is a podcast and video recording studio at 107a Hampstead Road, Manningham SA 5086. This policy explains how we handle personal information collected through podhub.com.au, our booking system and the studio itself. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

2. What we collect

When you book a session:

When you verify your phone: your mobile number and the one-time code we send by SMS. We use this to confirm you are a real person before you book, and to link any PodHub credit to you.

When you pay: payment is handled by Stripe. We receive a payment reference, the amount and whether the payment succeeded. We do not receive or store your full card details.

When you contact us: your name, email address and message.

After your session: whether you attended (so we can issue credit for a missed session under our terms), and any rating or feedback you choose to give us.

When you visit our website: our servers automatically record technical information such as your IP address, browser type, the pages you request and the time of your visit. We use this to keep the site running, secure and free of abuse, and to find and fix errors.

You can browse our website without telling us who you are. We can't take a booking anonymously, because we need to be able to confirm it, give you access to the studio and contact you about it.

3. Your recordings

You own the content you create at PodHub. We do not watch, listen to, edit, use or publish your recordings, and we do not copy them to our own systems. Where you record to the studio's in-house drive, we handle the files only to get them to you. Files left on the in-house drive may be deleted, so please keep your own copy.

If your recording includes other people, you are responsible for getting their permission to record and publish it.

4. How we use your information

We don't use your information for any other purpose unless you agree, or unless the law requires or allows it.

5. Marketing

We only send you marketing emails if you tick the opt-in box when booking. Every marketing email includes a way to unsubscribe, or you can email us and we'll remove you. Unsubscribing from marketing doesn't stop messages about bookings you've made.

6. Who we share it with

We don't sell, rent or trade your personal information. We share it only with the service providers we use to run PodHub, and only as much as each one needs to do its job:

PodHub is located within the Business Hub business centre, and our bookings and customer records are managed in the same customer management system that Business Hub uses. Your information is used by our team to run PodHub, as described in this policy.

We may also disclose your information where the law requires or allows it, for example to a court, a government agency or the police, or to protect someone's safety.

7. Information stored overseas

Several of the providers above store or process information outside Australia, mainly in the United States, and may use data centres in other countries. We choose established providers that protect personal information with industry-standard security, and we give them only what they need.

8. Cookies and tracking

Our website does not use advertising cookies, analytics tools or tracking pixels, and we don't build profiles of your browsing. The booking page may use your browser's storage for things it needs to work, such as keeping your place while you book. Loading our fonts means your browser connects to Google, which receives your IP address.

9. How we protect it

Your information is stored on secure, access-controlled systems and sent over encrypted (HTTPS) connections. Only people who need it to run PodHub can access it. No system is perfectly secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access. If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner as required by law.

10. How long we keep it

We keep booking and customer records for as long as we need them to provide our services and honour any credit (credit is valid for 12 months), and to meet our legal obligations. Financial and tax records are kept for up to 7 years, as Australian law requires. When we no longer need your information, we delete or de-identify it.

11. Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, at any time. Contact us using the details below and we'll respond within 30 days. We may need to confirm your identity first. If we can't give you access or make a correction, we'll tell you why in writing.

You can also ask us to delete your information. We'll do so unless we need to keep it, for example for tax records or an unused credit.

12. Complaints

If you're concerned about how we've handled your personal information, please contact us first and we'll try to resolve it. We aim to respond within 30 days. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

13. Changes to this policy

We may update this policy from time to time. The current version will always be on this page, with the date it was last updated at the top.
